RTH PatchBlue and Gold Banquet Planning Notes


BANQUET LOCATION
Does pack use the same place as the monthly pack meeting?
Check to see if space has already been reserved. We have the multi purpose room reserved when we place the reservation for all our other events. The Cubmaster does that.

Is the location big enough for everyone?

  • Tables for eating, caterer, head-table.
  • Who does clean up?
    Set times when you can get in and when you have to be out. Make sure den leaders know this so they have time to set up. (Recommend 1-½ hours before banquet and ½ hour after banquet).

    ENTERTAINMENT

  • Solicit suggestions from parents.
  • Check in local paper.
  • Try to follow theme of Blue & Gold banquet.
  • Magician.
  • Balloon guy.
  • Animal demonstration from Deanna Rose Farmstead, Ernie Miller Nature Center.

    CATER OR POT LUCK?
    We use a cater and charge according to the caterers suggestion. For the 2002 banquet, we charged $7.00 per adult, $4.00 kids 3-12 and kids under 3 were free. Last years caterer was Big Bubba's Bar B Que. They did a GREAT job!

    ANNOUNCEMENT AT PACK MEETING
    WHO - All cubs and families.
    WHAT - Blue & Gold Banquet (Theme).
    WHEN - Date.
    WHERE - location.

    Talk about prize for best table decoration (that table gets to eat first!). let them know the price.

    TO DO LIST FOR DEN LEADERS

  • Use den meetings in January for B&G preparation.
  • Make parent invites/give invites to parents early January.
  • Make place mats and table decorations in keeping with theme of banquet.
  • Plan on arriving at banquet early enough to set up BEFORE banquet starts.

    PACK GIFTS

  • How much to spend?
  • We usually get something from the Scout Shop, but whatever you want to do is fine.
    Ask Cubmaster if there are any special gifts he needs.

    C.O.R. and UNIT COMMISSIONER INVITES
    Get them out in January also ask them to be judges for best table decorations.

    PROGRAM
    See last years program.

  • Don't forget to leave time for popcorn announcement. This is when we hand out popcorn prizes and announce how much we will subsidize camps.
  • Work with Cubmaster as to how he wants advancements and announcements to go.

    DOOR PRIZES
    Contact den leaders to see what they have for prizes and who donated them in order to thank them in the printed program.

    HEAD TABLE DECORATIONS
    Use your imagination. Your committee will be a great help to you here.

    PROGRAM DAY

  • Arrive 1 ½ hours before banquet starts.
  • Direct dens where their tables are.
  • Decorate head table.
  • Set up door prize table.
  • Have tickets for door prizes.
  • If you have a grand prize, set up area for that. Have Webelos Scouts man that table.
    Have checks from Treasurer to pay caterer and entertainment.

    Blue & Gold Banquet Timeline

    JUNE - OCTOBER

  • Find Blue & Gold Committee chair and committee.
  • Location of Banquet.

    OCTOBER - NOVEMBER

  • Get Banquet theme from Roundtable/PowWow.
  • Start looking for entertainment.
  • Gather catering ideas or pot luck.

    DECEMBER

  • Announce theme and date of Blue & Gold at pack meeting.
  • Give copies of donation letter to den leaders.
  • Give den leaders to do list to be ready for Blue & Gold.
  • Get confirmations from; entertainment; caterer
  • Start collecting door prizes.

    JANURARY

  • Get pack gifts for committee members, den leaders.
  • Send invitations to C.O.R. and Unit Commissioner.
  • Make announcement at pack meeting
    1. Theme reminder.
    2. Door prizes.
    3. Entertainment announcement/teaser.
  • Confirm location.
  • Make program.
  • Gather door prizes.
  • Head table decorations.

    FEBRUARY

  • Print program.
  • Check W/ entertainment and caterer.
  • Arrive @ location to decorate/set up.
  • Pay entertainment and caterer.
  • Write notes for next year.

    MARCH

  • Give final report to pack committee at March committee meeting.
